Human Resources Assistant

 

Job Purpose: Supports and helps facilitate human resource processes by preparing and processing documentation, in processing new employees, conducting orientation, organizing employee meetings, maintaining records and information, completion and submission of periodic reports and documentation internally and externally, scheduling appointments, organizing meetings.

Human Resources Assistant Job Duties:

Arrange for advertising or posting of job vacancies, and notify eligible workers of position availability.

Review resumes and employment applications to evaluate qualifications and eligibility of applicants to fill open job positions.  Employment verification calls.

Interview job applicants for fitness for position and to obtain and verify information used to screen and evaluate them.

Oversees and facilitates “Pre-employment” and “New Hire” processing and assures compliance with company requirements.

Welcomes new employees to the organization by conducting orientation and facilitating execution and completion of new “Employee Checklist” and “New Hire Package” and documentation.

Explains company personnel policies, benefits, and procedures to employees or job applicants.

Employee termination processing.

Health and Dental Insurance new hire enrollment, terminations, changes, questions, meetings, open enrollment, and calls.

Understands DOT requirements and oversees ongoing DOT employment file maintenance.

Workplace Safety Programs / OSHA, Workers Comp Insurance, logs, claim coordination, accident reporting, meetings, calls, postings.

Experience with and capable of preparing and running weekly hourly and monthly salarypayrolls and payment of withholding taxes.

Submits employee data reports by assembling, preparing, and analyzing data.

Maintains employee information by entering and updating employment and status-change data.

Provides secretarial support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; manages office, coffee and beverage related and janitorial supplies.

Maintains employee confidence and protects operations by keeping human resource information confidential.

Maintains quality service by following organization standards.

Maintains technical knowledge by attending educational workshops; reviewing publications.

Contributes to team effort by accomplishing related results as needed.

Process, verify, and maintain documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations, and classifications.

Record data for each employee, including such information as addresses, weekly earnings, absences, amount of sales or production, supervisory reports on performance, and dates of and reasons for terminations.

Answer questions regarding examinations, eligibility, salaries, benefits, and other pertinent information.

Examine employee files to answer inquiries and provide information for personnel actions.

Gather personnel records from other departments and/or employees.

Search employee files in order to obtain information for authorized persons and organizations, such as credit bureaus and finance companies.

Request information from law enforcement officials, previous employers, and other references in order to determine applicants' employment acceptability.

Compile and prepare reports and documents pertaining to personnel activities.

Infom job applicants of their acceptance or rejection of employment.

Select applicants meeting specified job requirements and refer them to hiring personnel.

Arrange for in-house and external training activities.

Provide assistance in administering employee benefit programs and worker's compensation plans.

Prepare badges, passes, and identification cards, and perform other security-related duties.
